This tutorial will show you how to set up and manage the permissions for user groups in your store. This feature allows you to configure it so that access to certain sections or options is controlled based on which group the user is in. This could be because you don’t want a specific group paying with a certain payment method, or because certain groups should have access to only one category in the store.

Activate the Permissions Feature
You may need to first activate this feature.
- Access the Features section.
- Verify you are on the Features page.
- For the Permissions option, toggle the Active button to on. Click Close or Set Up Now to continue.
Select the Group for Permissions Configuration
From the Groups page, click the edit button for the group you want to configure.
- Access the Users and Groups section.
- Click into the Groups area.
- Click the pencil (edit) icon for the group you want to configure.
Click into the Permissions section to continue
Set Category Permissions
The Category tab controls which categories the user group has access to and you can either:
- Show all categories except = This will SHOW all the categories to the user EXCEPT the ones you check.
- Hide all categories except = This will HIDE all the categories to the user EXCEPT the ones you check.
In the example below, only the "Apparel" and "Bags" category will be displayed for this group.
Keep in mind if you only check a Main category (e.g. “Bags” or “Apparel” in the above example) and not the subcategories as well, the user group will be able to gain access depending on how the permissions are configured (e.g., if you select “Show all categories, except”, and you don’t check the subcategories that user group shouldn’t have access to, they will still be be able to see them).
Set Payment Method Permissions
These settings control which payment methods the user group is able to use, and just like with categories, you can either:
- Show all payment methods except = This will SHOW all the payment methods to the user EXCEPT the ones you check.
- Hide all payment methods except = This will HIDE all the payment methods to the user EXCEPT the ones you check.
In the below example, this group is able to use ALL the payment methods available except “PO Number" and "Charge to Department."
Set Shipping Method Permissions
These settings control which shipping methods the user group has access to. You can configure it so it will:
- Show all shipping methods except = This will SHOW all the shipping methods to the user enabled EXCEPT the ones you check.
- Hide all shipping methods except = This will HIDE all the shipping methods to the user enabled EXCEPT the ones you check.
In the below example, the user group cannot use any shipping methods EXCEPT “International”.
Set Custom Data Collection (CDC) Permissions
These settings control which Custom Data Collections the user group has access to. You can configure it so it will:
- Show All custom data collections except = This will SHOW the user all Custom Data Collection Forms EXCEPT the one you check.
- Hide all custom data collections except = This will HIDE all Custom Data Collection Forms to the user EXCEPT the one you check.
In the below example, the user group can only see the Custom Data Collection for "Order Notes".
Set Pages Permissions
The settings here can control what pages the users have access to. You can configure it so it will:
- Show all pages except = This will SHOW all the pages to the user group EXCEPT the ones you check.
- Hide all pages except = This will HIDE all the pages to the user group EXCEPT the ones you check.
In the example below, this user group can see all pages except "Contact Us" and "Catalog Page".
Set Administrative Permissions
The settings here control which administrative permissions the user group has access to and you can either:
- Show all admin except = This will SHOW the user access to all admin permissions EXCEPT the ones you check.
- Hide all admin except = This will HIDE the user access to all admin permissions EXCEPT the ones you check.
All groups created in the store by default will not have admin permissions apply (this is with the exception of the “Administrators” user group, which does have admin permissions configured by default). But you can set it up so a specific user group has access to certain sections of the admin area (i.e. your client may request access to seeing the orders, or reports for example).
If you provide your client with admin permissions they would login at, for example, https://storesubdomain.mybrightsites.com/admin
In the example below we have DENIED access for all admin permissions EXCEPT the “Orders” and “Reports” sections of the store.
Copy Permissions from One Group to Another
If you have already set up permissions for your user groups, and you want to copy those permissions from one group to another group, you can actually “copy permissions” over.
- Access the Permissions section for the group you want to copy the permission TO.
- From the Copy Permissions drop-down box, select the group you want to copy the permission FROM.
- Click Save to save your changes.
In the above example, we've copying permissions over from the “Marketing” group to the “Operations” group. If you need to change the source group that you want to copy permissions from, select that user group from the “"Switch Groups” drop down list.
Make a Store Private (require login)
You can require that all users login prior to shopping on the store. To do so, HIDE access to all pages and categories for the "Public" group. The "Public" group is the group a user is automatically placed in until they login. By restricting access for this group, the user must login to shop on the store. Once logged in, the user is placed in the group assigned to their user account.
In the below example, we have configured the “Public” user group to hide all access, which will require users to login. To begin, click the edit (pencil) icon for the "Public" group and click into the Permissions section (not pictured here).
Next, select the following:
- Hide all categories except
- Hide all payment methods except
- Hide all shipping methods except
- Hide all pages except
- Hide all admin except
** Please note, if you currently have users in the "Public" group, changing permissions as described here will impact their ability to shop on the store. You may want to check for users in the "Public" group prior to making these changes, and move them into a new group.
This is an example of hiding all categories to make the store private. This can also be done for Payment Methods, Shipping Methods, CDC, Pages and Admin.
